2. Information we collect
We may collect your name, job title, organisation, business contact details, enquiry and correspondence details, booking information, purchase and invoice information, assessment responses, operational information you submit, website and device information, and marketing preferences.
Payment card details are processed by our payment provider. Renka Group does not receive or store your complete card number.
Please do not include identifiable service-user, patient, child, employee health, criminal-offence or other special-category information in an assessment or message unless we have specifically agreed that it is necessary and appropriate safeguards are in place.
3. How we obtain information
We collect information directly from you when you contact us, book a call, purchase a service, complete an assessment or communicate with us. We may also receive business contact information from publicly available professional sources, company websites, regulatory directories and business-data providers.
4. How and why we use information
We use personal information to:
• respond to enquiries and arrange consultations;
• provide assessments, reports, action plans, consultancy and ongoing support;
• manage purchases, invoices, contracts and customer records;
• operate, secure and improve our website and services;
• maintain business records and comply with legal, tax and regulatory duties;
• prevent fraud, misuse and security incidents; and
• send relevant business-to-business communications where permitted by law.
Our lawful bases are performance of a contract or steps requested before entering a contract, compliance with legal obligations, our legitimate interests in operating and developing our business and communicating with relevant organisations, and consent where consent is required. Where we rely on legitimate interests, we consider the necessity of the processing and balance it against your rights and reasonable expectations.
5. Marketing
You can object to direct marketing or unsubscribe at any time by using an unsubscribe link or emailing enquiries@renkagroup.com. We will retain enough information to respect an opt-out request.
6. Who we share information with
We may share information only where necessary with service providers that support our website, payments, assessments, bookings, email, customer management, document production, automation, hosting and IT security. These may include Squarespace, payment processors, Typeform, Acuity Scheduling and other contracted technology providers. We may also share information with professional advisers, insurers, regulators, law-enforcement bodies or a purchaser of our business where legally permitted or required.
We do not sell personal information.
7. International transfers
Some suppliers may process information outside the United Kingdom. Where this occurs, we use an appropriate lawful transfer mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, together with appropriate safeguards where required.
8. How long we keep information
We keep information only for as long as reasonably necessary for the purpose collected and to meet legal, accounting, contractual and regulatory requirements. Enquiry records are normally reviewed after 24 months. Core client, contract and financial records may be retained for up to six years after the relevant relationship or transaction. Raw assessment responses are normally deleted or anonymised within 90 days after final deliverables are issued, unless a longer period is required to provide ongoing services, resolve a dispute or comply with law. Opt-out records may be retained to ensure we continue to respect your preference.

We use appropriate organisational and technical measures designed to protect personal information. No internet service is completely secure, and you should contact us promptly if you believe information has been compromised.

Our website may use essential cookies and, where permitted, analytics or other optional cookies. Optional cookies should not be set without the required consent. You can manage cookies through the website cookie controls and your browser settings.
11. Your rights
